Version 2026-09-26-draft-2 · Effective September 26, 2026
Organizer Agreement
Draft, pending legal review. We'll ask you to accept the final version before it replaces this one.
This agreement is between you and Rum & Thatch ("Rum & Thatch," "we," or "us"). It covers what it means to be an Organizer of a Rum & Thatch market, including a Founding Organizer, the first Organizer of a market that isn't open yet.
You're still a member, so our Terms of Service and Privacy Policy keep applying to you. Where this agreement and the Terms of Service differ about your role as an Organizer, this agreement controls.
1. The relationship
Being an Organizer is a volunteer role. You are not an employee, contractor, agent, or partner of Rum & Thatch, and this agreement doesn't create a joint venture or any other business relationship.
There is no pay, commission, revenue share, or other compensation for the role. We don't reimburse expenses unless we agree to in writing before you spend the money.
You can't sign contracts, make commitments, or speak for Rum & Thatch. That includes promises to venues, brands, or members made in our name. If a reporter or anyone else asks you about Rum & Thatch for publication, send them to us at contact@rumandthatch.com and don't comment on our behalf.
2. Your role
You organize Rum & Thatch gatherings in one market: Mixers at tiki and tropical bars, Driftwood Socials on public beaches, and Ember Nights at cigar lounges. There is one Organizer per market, and Rum & Thatch decides who it is.
To take and keep the role, you must be 21 or older, live in or near your market, and be a member in good standing.
If you're a Founding Organizer, we decide when your market opens. Until then, the role is getting ready with us and planning the first Mixer together. The event tools unlock when the market opens.
Once your market is open, you agree to:
- Host at least one Mixer a month.
- Attend your own gatherings in person. If you can't make one, tell us ahead of time.
- Create events and handle RSVPs through the Rum & Thatch site, not through other apps or lists.
- Follow the Organizer guidelines Rum & Thatch provides. We may update them from time to time.
- Keep us informed about venue arrangements: which venue, when, and anything you've discussed with its staff or management.
3. Venues and money
Gatherings happen only at licensed public venues, such as bars and cigar lounges, or on public beaches. Never at a private home, including yours.
Never charge members, collect money, sell tickets, or sell anything at or for a gathering. Members buy their own drinks and food directly from the venue.
Don't ask for or accept payments, comps, discounts, sponsorships, or free product in Rum & Thatch's name or for a gathering without our written approval. An email from us counts as written.
Tell us about any conflict of interest before it matters. For example, you work at or own part of a venue, or a brand that would be at a gathering pays you. A conflict doesn't automatically rule you out. Keeping it from us can.
4. Alcohol and safety
- At a bar or lounge, the venue serves alcohol, never you. Don't pour, serve, or hand out drinks, and don't buy rounds on the club's behalf.
- At a beach gathering, you don't provide or serve alcohol to anyone. What members bring is up to them and to the beach's rules.
- Never pressure anyone to drink.
- Gatherings are 21+. Don't invite or bring anyone under 21. If you learn someone under 21 is at a gathering, tell the venue's staff and tell us.
- Encourage members to plan a ride home or a designated driver. Never drive impaired yourself.
- In an emergency, call 911 first. Then tell us.
- Report any incident to us within 24 hours, at contact@rumandthatch.com or through the direct line we give you. That means an injury, a medical emergency, a fight, police involvement, property damage, a harassment complaint, or anything else that went wrong.
5. Conduct at gatherings
- No harassment or discrimination, by you or anyone at your gatherings. Every member is welcome.
- If a problem comes up at a venue, work with the venue's staff. It's their room.
- You may ask someone to leave a gathering if they're making it unsafe or unwelcoming. If you do, tell us within 24 hours what happened.
- Rum & Thatch gatherings are social events, not singles or dating events. Don't describe or promote them that way.
6. Member privacy and confidential information
Members go by usernames, and real names are optional. Respect that.
- Never share a member's real name, contact details, or attendance (including RSVPs) with anyone.
- Use member information only to run your gatherings. Don't copy, export, screenshot, or store it outside the Rum & Thatch site, and don't use it for anything else, such as marketing, a business, or another group.
- Photos only with consent. Ask before photographing anyone, and never photograph or post anyone who declines. If someone asks you to take down a photo of them, take it down and tell us.
Things we share with you that aren't public, such as plans for new markets, venue conversations, and incident reports, are confidential. Don't share them.
These duties continue after your role ends.
7. Brand and accounts
Use the Rum & Thatch name, logos, and templates we provide, as we provide them. Don't alter them or make your own versions.
Don't create social media accounts, groups, pages, group chats, or event listings under the Rum & Thatch name, or that look like ours, without our approval. Any account or listing we approve belongs to Rum & Thatch, and you'll hand over access when we ask or when your role ends.
8. Beach gatherings
Driftwood Socials happen only on public beaches, and only once we've approved the place and date.
Follow the local rules for that beach, including rules on alcohol, glass, fires, noise, parking, and group size. Rules differ from beach to beach and change over time, so check the official city or county source before each gathering.
If a beach requires a permit for a group like ours, don't apply for one or hold the gathering without our approval.
Watch the weather and any lifeguard warnings, and call off a gathering if conditions aren't safe. Leave the beach as clean as you found it.
9. Content you create
You keep ownership of the photos, posts, event descriptions, and other content you create for Rum & Thatch. You give Rum & Thatch free permission to use, copy, edit, and share that content anywhere, and that permission continues after your role ends.
By sharing content with us, you confirm you have the right to share it and that anyone recognizable in a photo agreed to be photographed.
10. Ending the role
You can step down at any time by telling us. We can end your role at any time, and we'll try to tell you why.
When the role ends, your Organizer access and tools are removed, you stop using the Rum & Thatch name and brand as an Organizer, you hand back any accounts or materials we gave you, and you delete any member information you have outside the Rum & Thatch site.
Sections 6 (privacy and confidential information), 9 (content), 12 (risk, liability, and insurance), and 13 (governing law) continue after the role ends. Ending the role doesn't end your membership unless you or we also end that under the Terms of Service.
11. Changes to this agreement
We may update this agreement. When we do, we'll post the new version on this page with a new version number and effective date, and let you know by email. To stay an Organizer, you'll need to accept the new version. If you don't, your role ends.
12. Risk, liability, and insurance
You take part in gatherings voluntarily and at your own risk, as the Terms of Service describe.
Don't assume any insurance covers you or your gatherings. Venues carry their own insurance for their premises. Rum & Thatch's insurance, if any, covers you only if we tell you so in writing. Check whether your own policies cover volunteer activities.
To the fullest extent the law allows, you release Rum & Thatch from claims for injury, loss, or damage arising from your role as an Organizer, except claims caused by our gross negligence or intentional misconduct.
To the fullest extent the law allows, Rum & Thatch is not liable to you for indirect, incidental, or consequential damages arising from your role.
If someone brings a claim against Rum & Thatch because you broke this agreement, broke the law, or intentionally or recklessly harmed someone, you agree to cover Rum & Thatch's reasonable costs from that claim, to the extent the law allows.
Nothing in this agreement limits any liability that can't be limited by law.
13. Governing law
This agreement is governed by the laws of the State of Florida, without regard to its conflict-of-laws rules.
14. Accepting this agreement
You accept this agreement by checking the box on the Organizer application. Checking the box is your agreement, the same as signing it. We record the version you accepted and the date and time you accepted it.
The agreement takes effect when we name you an Organizer. It is the whole agreement about your role, together with the Terms of Service and Privacy Policy. If any part of it can't be enforced, the rest still applies.
You can read the current version on this page at any time.
15. Contact
Questions about this agreement, incident reports, and press inquiries all go to contact@rumandthatch.com.
